About the role
The Secretarial Assistant will support the Director of the UNESCO Regional Office in the Pacific, ensuring smooth office workflows, effective information management, and high‑quality administrative support.
Key responsibilities
- Manage the Director’s calendar, screen appointment requests, and coordinate visitor reception.
- Handle confidential queries, correspondence, and technical communications.
- Organise secretarial support for high‑level meetings, trainings, and special events, including minute‑taking and follow‑up tracking.
- Arrange editing, translation, and other services for documents and publications.
- Oversee support staff, set priorities, and distribute tasks equitably.
- Process incoming mail, draft technical responses, and perform quality control on outgoing documents.
- Research, compile, and organise background information for reports, briefs, and speeches.
- Maintain filing, reference systems, office website, knowledge‑management tools, and databases.
Required profile
- Completed secondary education, technical diploma or vocational school.
- At least five years of relevant administrative or secretarial experience.
- Demonstrated integrity, confidentiality, and reliability.
- Excellent English language skills, both spoken and written.
Required skills
- Strong knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience with database packages and knowledge‑management tools.
